Astute Building & Pest Inspections (ABN 67 670 072 734) ("we", "us", "our") provides residential building and pest inspection services across South East Queensland and Northern New South Wales.

We respect your privacy and are committed to protecting the personal information you share with us. This policy explains what information we collect, why we collect it, how we use and store it, and how you can access, correct or complain about it.

We handle personal information in accordance with the Australian Privacy Principles (APPs) set out in the Privacy Act 1988 (Cth).

2. What personal information we collect

The information we collect depends on how you interact with us. It may include:

• Contact details - your name, phone number, email address and postal address

• Property details - the address of the property to be inspected, access arrangements, and details of the agent, vendor or occupier where relevant

• Transaction details - quotes, invoices, payment records and correspondence

• Inspection information - photographs, notes, measurements and findings recorded during an inspection

• Website and enquiry information - information you submit through our contact form, and technical data such as your IP address, browser type, device type, pages visited and referring website

• Communications - emails, text messages, voicemails and notes of phone conversations

We do not deliberately collect sensitive information (such as health, racial or political information) and ask that you do not send it to us unless it is directly relevant to an inspection.

3. How we collect personal information

We collect personal information:

• Directly from you, when you call, text, email, complete our website contact form, or speak with us in person

• From third parties involved in your transaction, such as real estate agents, conveyancers, solicitors, mortgage brokers or property managers who arrange an inspection on your behalf

• Automatically through our website, using cookies and similar technologies (see section 8)

• From publicly available sources, such as property listings and title information, where needed to complete an inspection

If you provide us with someone else's personal information (for example, an occupier's contact details for access), please make sure you have their permission to do so.

4. Why we collect and use your information

We use personal information to:

• Respond to enquiries and provide quotes

• Schedule, arrange access to, and conduct inspections

• Prepare and deliver inspection reports

• Invoice you and process payments

• Communicate with you about your booking, including reminders and follow-up

• Maintain records for professional, insurance and licensing obligations

• Improve our services and our website

• Send you information about our services, where you have consented or would reasonably expect it (see section 7)

• Comply with our legal obligations

If you choose not to give us the information we ask for, we may not be able to provide an inspection or a report.

5. Inspection reports

An inspection report contains detailed information about a property and, in some cases, information about the people connected to it.

Reports are prepared for, and provided to, the person who commissioned the inspection. We will not release a report to anyone else without your authorisation, unless we are required or permitted to do so by law.

If you ask us to send your report to a third party - for example your conveyancer, solicitor, buyer's agent or lender - we will treat that as your authorisation to disclose it to them.

Reports may include photographs of the property interior and exterior. If a photograph incidentally captures a person or their belongings, we will take reasonable steps to limit or remove it where practical.

6. Who we disclose information to

We may disclose your personal information to:

• Third parties you have asked us to deal with, such as agents, conveyancers, solicitors or lenders

• Real estate agents, vendors, property managers or occupiers, to the extent needed to arrange property access

• Our service providers, including our website host, email and cloud storage providers, reporting software providers, accounting and payment processors, and IT support

• Our insurers, legal advisers and professional advisers

• Government agencies, regulators or courts, where required or authorised by law

We do not sell, rent or trade your personal information.

7. Marketing communications

From time to time we may contact you about our services, special offers or useful information for property owners and buyers. We will only do this where you have consented, or where you would reasonably expect it based on our existing relationship with you.

Every marketing email we send includes an unsubscribe link. You can also opt out at any time by replying to any message or contacting us using the details in section 15. We will action opt-out requests promptly.

We comply with the Spam Act 2003 (Cth) and the Do Not Call Register.

8. Our website, cookies and online advertising

Cookies. Our website uses cookies - small files stored on your device - to make the site work properly, remember your preferences and understand how the site is used. You can disable cookies in your browser settings, though some parts of the site may not function correctly if you do.

Website hosting. Our website is hosted on Squarespace. Squarespace collects standard technical and analytics information about visitors. Details are available in Squarespace's own privacy policy.

Analytics. We use analytics tools, including Google Analytics, to understand how visitors find and use our website. These tools collect information such as pages viewed, time on site, approximate location and device type. This information is generally aggregated and does not identify you personally.

Advertising. We advertise through Google Ads. Google and its partners may use cookies and device identifiers to measure the performance of our advertising and to show our ads to people who have previously visited our website. You can manage your Google ad settings at adssettings.google.com, and opt out of interest-based advertising from participating providers at youronlinechoices.com.au.

9. Phone calls

We may use call tracking and call reporting to measure the effectiveness of our advertising. This records information such as the phone number you called from, the date and time, the duration of the call and which advertisement or web page prompted it. This information is used for advertising measurement and business record purposes.

If we ever record the content of a call, we will tell you at the start of the call and give you the option to continue without recording.

10. Storing and securing your information

We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. These steps include password protection, access controls, secure cloud storage, up-to-date device security and limiting access to information to those who need it.

We keep personal information and inspection reports for as long as needed to provide our services and to meet our legal, insurance and professional record-keeping obligations. This is typically at least seven years from the date of the inspection. When information is no longer required, we take reasonable steps to destroy or de-identify it.

No method of transmission or storage is completely secure. While we work hard to protect your information, we cannot guarantee absolute security.

11. Overseas disclosure

Some of the service providers we use - including our website host, email provider, cloud storage and advertising platforms - store data on servers located outside Australia, including in the United States and other countries. Where we disclose personal information to an overseas recipient, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.

12. Accessing and correcting your information

You can ask us for a copy of the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete or misleading.

To make a request, contact us using the details in section 15. We will need to verify your identity before releasing information. We will respond within a reasonable period, usually within 30 days. Access is generally free, though we may charge a reasonable fee for retrieving substantial records. If we refuse a request, we will explain why in writing.

13. Data breaches

If we experience a data breach that is likely to result in serious harm to any individual whose personal information is involved, we will assess the breach, take steps to contain it, and notify affected individuals and the Office of the Australian Information Commissioner as required under the Notifiable Data Breaches scheme.

14. Complaints

If you believe we have breached your privacy or mishandled your personal information, please contact us first using the details in section 15. Tell us what happened and what outcome you are seeking. We will acknowledge your complaint and aim to resolve it within 30 days.
